Only Visit Organizers VOs and their Permitted Applicants are eligible to host Private Visits at their venues. VOs initiate by applying for venue approval through our system, which typically takes up to eight working days. Once approved, they receive a unique venue code that enables Permitted Applicants to book exams.
VOs must first understand and adhere to our detled terms and conditions avlable for download on this page. They are then encouraged to conduct a risk assessment at their venues by using the provided checklist and form, ensuring that safety standards are met.
After securing venue approval, VOs can proceed with booking dates suitable for Private Visits, considering avlability during our peak exam periods and within business hours 9:00 am - 10:00 am. Typically, each day can accommodate up to 6.5 hours of exams.
For instrumental and singing examinations, there is a minimum requirement of three hours per visit except for Jazz, Percussion, Organ, Harpsichord, Choral Singing, and Jazz Ensemble exams, which do not have set time requirements but must be held on approved dates.
Music theory exams at this level can be conducted at any private visit venue that meets the educational criteria: schools, colleges, or prison or hospital education departments. There is no minimum number of candidates required.
VOs can accept new bookings up until two months before a Private Visit starts and may still add candidates after this deadline if space permits in their timetable.
Dates for Private Visits are avlable via our online platform, offering flexibility to choose suitable dates within set periods. Additional fees apply for booking exams through these visits compared to public venues.
Downloadable forms include a risk assessment checklist and form to ensure safety standards are met, as well as the 'Terms Conditions for Visit Organisers' document which outlines responsibilities and expectations.
